Terms of Service

These terms form an agreement between the school or institution subscribing (“you”, “the School”) and [Schoolivo], operating as Schoolivo, registered at [Khurmabad, Siwan, Bihar 841226].

They apply from the moment you begin using Schoolivo, whether or not you have paid yet. Signing up on behalf of a school means you have the authority to bind that school.

Schoolivo is school management software covering admissions, students, classes, fees and receipts, attendance, staff and payroll, exams, reporting and an AI assistant. It is delivered as a mobile app and, as it ships, a web dashboard.

Every subscribing school gets every module. We do not gate features by tier and we do not charge to unlock them.

• The subscription is ₹2,300 per school per academic year, plus ₹12 per enrolled student, payable in advance.
• Your roll is counted once, at the start of the academic session. Admitting students mid-year does not change that year’s invoice. The count is taken again at renewal.
• Schools above 2,000 students, and groups with more than one branch, are quoted separately.
• Prices are exclusive of GST, which is charged where applicable at the prevailing rate.
• Onboarding, class setup and one-time migration of your existing students are included. There is no setup fee.

Current prices are launch prices and will rise for new schools over time. A price increase never applies to you mid-term. If we change the rate, we will tell you at least 30 days before your renewal, and you are free not to renew.

Every school gets a free trial of 1 month before any fee becomes payable. Founding Schools get three months instead; the longer period replaces this one rather than being added to it.

• The trial is the full service. No module, report or record is withheld, and there is no cap on students, staff logins or transactions during it.
• We do not take a card, a deposit or any advance to start it. Nothing charges automatically at the end, and there is nothing you must cancel to avoid being billed.
• The period starts on the day your classes, fee structures and existing students have been entered and the system is usable — not on the day you enquire or sign.
• Onboarding and one-time migration are carried out during the trial at no cost, and are not chargeable if you choose not to subscribe.
• One trial per school. It is not available again to a school that has already had one, including under a different contact or name.
• Records you entered during the trial remain exportable whether or not you go on to subscribe.

A subscription begins only when you tell us to start it. If we do not hear from you at the end of the trial, the account simply stops — you are not invoiced.

If you joined under the Founding Schools offer, then for as long as your subscription stays continuously active:

• your rate is fixed at ₹1,900 plus ₹10 per student, and does not rise with our list price;
• your student count is fixed at the roll recorded on the day you signed, so growing does not increase your invoice;
• the first three months are free rather than the one month at clause 4, starting when your students are entered;
• new modules reach you at no extra cost as they ship.

The lock ends if the subscription lapses. If you cancel and return later, you return at the list rate that applies then.

All student, parent, staff, fee and academic records you put into Schoolivo remain yours. We claim no ownership of them and no licence to use them beyond running the service for you.

• You can request a full export of your data at any time, in a machine-readable format.
• We do not sell your data, do not share it with other schools, and do not use it to train any model of our own.
• Where the service uses third parties to function — the AI assistant, WhatsApp delivery, payment processing — the Privacy Policy lists exactly who and what they receive.

You are responsible for having the lawful basis to hold the records you enter, including guardian consent for children’s data. We act on your instructions as your processor.

• Share staff logins between people. Logins are unlimited precisely so you never need to.
• Use Schoolivo to send messages the recipient has not agreed to receive, or anything unlawful, misleading or abusive.
• Attempt to access another school’s data, probe or attack the service, or resell access to it without our written agreement.
• Upload material you do not have the right to hold.

We work to keep Schoolivo available and will give notice of planned maintenance where we can. But we should be straight with you:

We do not currently offer a contractual uptime guarantee or service credits. If you need a formal SLA, ask us before you sign and we will tell you honestly whether we can commit to it yet.

The service depends on third parties — WhatsApp delivery, the payment gateway, the AI provider, our hosting. Where one of those fails, the affected feature may be unavailable and we are not liable for that provider’s outage. Cash and cheque collection, receipts and your records keep working regardless.

Where you enable online payments, fees are collected by Razorpay and settled to your account under your own agreement with them. Razorpay charges its own transaction fee. Schoolivo takes no commission on your fee collection.

Refunds of a student’s fee are a matter between the school and the parent. We provide the records; we do not decide or process them.

• If a renewal invoice is unpaid, we will remind you. If it stays unpaid 30 days past due, we may suspend access. We will not delete anything at this stage.
• You may cancel at any time. Cancellation stops the next renewal; see the Refund & Cancellation Policy for what happens to money already paid.
• We may terminate for serious or repeated breach of clause 7, with notice and a chance to put it right unless the breach makes that unreasonable.
• On termination for any reason, your data stays available for export for 90 days before deletion.

Schoolivo is a record-keeping tool. It does not replace your obligation to keep the statutory records your board or authority requires, and you should keep your own backups of anything you cannot afford to lose.

To the extent permitted by law, our total liability to you for any claim arising out of this agreement is limited to the subscription fees you paid us in the 12 months before the claim arose. We are not liable for indirect or consequential loss, loss of profit, or loss arising from your own entry of incorrect data.

Nothing in these terms limits liability for fraud, or for anything that cannot lawfully be limited.

Where we run a referral programme, a reward of ₹2,000 is payable once the referred school clears its first invoice. Rewards are paid to the referrer’s UPI within 7 working days of that payment. A school cannot refer itself, and we may withhold a reward where a referral is duplicated, self-dealt, or where the school never pays.

These terms are governed by the laws of India, and the courts at [Siwan, Bihar] have exclusive jurisdiction.

We may update these terms. For material changes we will give schools at least 30 days’ notice by email, and the changed terms will not apply retrospectively to a term you have already paid for.
